Administrative, Communications & Project Coordinator

The Administrative, Communications & Project Coordinator position works closely with the senior staff to ensure the organization runs smoothly by providing project and administrative support and managing overall marketing, branding, and outside communications. Candidates must have outstanding written communication skills, project management and previous experience writing blogs, social media posts, and emails.


Executive Assistant & Project Coordinator Responsibilities                                                                                                      

This part of the position manages the day-to-day workings of the office, creates and maintains schedules, maintains a handle on the status of all current projects within the organization and assists senior staff with tasks as needed. 


Duties include, but are not limited to: 

  • Answering telephone calls, handling visitors, receiving and relaying messages, handling requests for information and assistance, scheduling meetings and appointments for the Executive Director, coordinating office timelines (daily, monthly and yearly), project deadlines and monitoring compliance with those timelines and their project leads.

  • Assisting in completion of organizational applications, forms and reports (with the assistance of appropriate staff and volunteers). 

  • Maintaining records for and coordinating responses to office e-mail and other requests for info. 

  • Working with the Executive Director and other staff on financial duties including preparing bank deposits and other bank transactions, handling invoices, check requests and receipts, petty cash transactions, and other financial transactions. 

  • Attend in person and virtual meetings with the executive director (and other senior staff as needed) to help provide immediate information and taking minutes for meetings.

  • Preparing and mailing/distributing letters, memoranda, and reports as assigned, including donor and other acknowledgements. 

  • Opening and handling incoming mail and coordinating all outgoing bulk and regular mailings. 

  • Managing the printing, preparation, and mailing of all outgoing print communication and fundraising materials, including newsletters, letter campaigns, postcards, etc. 

  • Ordering and managing office equipment, supplies, and resource materials. 

  • Assisting to maintain our online filing system. 

  • Supporting event planning activities and logistics, such as purchasing materials, assembling packets, etc. 

  • Assisting Executive Director and other staff with administrative, clerical, and operational duties as needed. 


Communications/Marketing Responsibilities                                                                                                                    

This portion of the position will help create materials, contribute to the development of Organization websites, organize meetings and presentations, create videos, podcasts and other content for the Organization and work to deliver our organization’s message to the public and the media. 

Duties include, but are not limited to: 

  • Writing content for both print and web including the Organization’s website, blog, brochures, and newsletter. 

  • Coordinating participation in key education, LGBTQ+, and civil and human rights coalitions.

  • Creating public policy resources and programming that supports our advocacy initiatives and thought leadership on LGBTQ+ issues.

  • Managing, planning, and implementing a communications strategy. 

  • Monitoring and managing the Organization's social media and online presence. 

  • Collaborating with staff to develop newsletters, web content, email blasts, social media messaging. 

  • Recommending techniques to improve the Organization's public image. 

  • Ensuring that all promotional & marketing materials meet the Organization’s brand identity strategy. 

  • Identifying & resolving any issues with promotional content in a timely and professional manner.  

  • Serving as the point of contact for media and public questions. Assessing and reporting on the effectiveness of communication strategies. 

  • Coordinating meetings, press releases/conferences, and presentations. 

  • Developing and maintaining marketing, communications and social media calendar. 



  • Bachelor’s Degree in Marketing, Communications, English, Public Relations or Journalism (or equivalent combination of education and experience)

  • A minimum of 2-3 years’ experience working in a marketing, communications, or executive assisting position. 

  • Possess a solid understanding of effective marketing techniques.

  • Must have excellent writing and editing skills.

  • Be able to communicate clearly and effectively.

  • Strong time-management and organizational skills.


Schedule and Location                                                                                                                                                                 

  • Monday through Friday, 10 AM to 5 PM Eastern, in-person or remote.

    • This can be a virtual/telework/in person position and applicant must be within the United States.

  • Hourly rate will be commensurate with experience around $15 per hour.

    • 1099 contractor during 90 day trial period.

    • W2 Benefits - LGBT Tech offers a generous benefits package, including two weeks of paid vacation/sick leave (increases annually based on tenure), paid holidays, one week paid time off at the end of the year; 100% employer-paid medical and dental insurance for staff and optional benefits for family members (including domestic partners); 100% employer-paid life insurance, short and long-term disability; communications and vacation reimbursement and a 401k plan with increasing employer contributions based on tenure.
